Contractor compliance

Contractor compliance is the process of ensuring that third-party contractors and the contract workers they deploy meet all applicable workforce, wage, safety, and documentation requirements. In simple terms, it means a business does not treat contractor management as a vendor only responsibility; it maintains proof that every worker on site is properly documented, paid, and covered under relevant laws.

Contractor compliance is more than checking a vendor’s licence at the start of a contract. It involves continuous monitoring of records and statutory obligations throughout the engagement.

Why It Matters

The risk does not disappear simply because workers are employed through an agency. If a contractor delays wages, makes a short payment, or fails to deposit statutory dues, the principal employer may have to step in and make the payment.

Managing Contractor Compliance

A practical approach is to maintain a monthly compliance pack for every contractor. This should include the contractor’s active licence, worker master list, attendance and wage records, payroll proof, and applicable statutory challans. HR, operations, finance, and site managers should reconcile these records rather than reviewing them in isolation.
